Privacy Policy

Collins Systems ("we," "us," "our") is a sole proprietorship operated by William Collins in Sacramento, California. We build and manage AI phone receptionists for local service businesses ("Clients"). This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- From our Clients: business name, contact name, email address, phone number, business hours, services, service area and billing information.
- From people who call our Clients: when a caller reaches a Client's AI receptionist, we process the caller's name, phone number, service address, a description of their issue, and a recording and transcript of the call, on behalf of that Client.
- From our website: information you send us by email or when you book a meeting.
How we use information
- To answer calls for our Clients and send them call summaries.
- To set up, operate, support and improve our service.
- To communicate with Clients about their account, including by email and text message.
- To bill Clients and keep business records.
Client and caller data belongs to our Clients
Caller information, recordings, transcripts and job details collected for a Client belong to that Client. We use them only to provide the service to that Client. We do not sell, rent or share this information, we do not use it to market to or contact our Clients' customers, and we do not provide it to any other business. When a Client ends the service, we provide a copy of their data on request and delete it within 30 days.
Text messaging (SMS)
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
If you opt in to receive text messages from Collins Systems, such as call summaries, account notifications or support messages, we collect your mobile phone number for that purpose. You can opt in on our sign-up form. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers that deliver messages on our behalf. You can opt out at any time by replying STOP. Service providers
We use trusted providers to run our service, such as voice AI, telephone and messaging carriers, email, scheduling and payment processors. They process information only as needed to provide their services to us and are not permitted to use it for their own marketing.
Data security and retention
We use reasonable safeguards to protect information. We keep information only as long as needed to provide the service, meet legal obligations, or as instructed by our Clients.
Your choices and California privacy rights
You can ask us to access, correct or delete personal information we hold about you. If you called one of our Clients, we may refer your request to that Client, since they control that information. We do not sell personal information. To make a request, email william@collinssystems.com.
Children
Our service is for businesses and is not directed to children under 13.
Changes
We may update this policy. The effective date above shows when it last changed.
